AGM and Board Meeting Venues in the City and West End

For an AGM, a results presentation or a board meeting, location is doing real work: shareholders, analysts and journalists need to get there easily. Three of our five venues – America Square, the Minster Building and Basinghall – are inside the Square Mile, with Hallam Conference Centre and Cavendish Conference Centre in the West End.

Formal Layouts and Board Rooms

Rooms set theatre and classroom for the meeting itself, with a top table for the board, and syndicate rooms alongside for the private sessions either side of it. Board rooms across the group seat smaller groups around a single table, and a room is held for the whole of your booking rather than turned over between sessions.

AV, Webcasting and Remote Attendance

In-house AV support comes as standard, with technicians on site, plus hybrid-ready video conferencing, webcasting and live streaming so shareholders and analysts can attend remotely. Sessions can be recorded in HD for on-demand viewing afterwards.

Discretion and Catering

Rooms are set before attendees arrive and delegate lists are not shared with other events. Catering is in-house from our group catering partner Mayfair Catering – breakfasts before an early results call, working lunches, or a private dinner for the board – with vegan, vegetarian, gluten-free, dairy-free, halal and kosher options available.

Do you host AGMs and shareholder meetings?

Yes. Our AGM rooms seat 30 up to 250 shareholders in theatre or lecture layout, with a formal top table for the board and chair. Registration desks handle share-certificate and proxy check-in with a documented audit trail. Voting can be done by poll, by show of hands or by handheld electronic voting units on request.

Can you host an interim or full-year results announcement?

Yes. For results announcements we set up a broadcast-quality space with camera, direct feed to your investor-relations webcast provider, and a Q&A room prepared for the CEO and CFO. Analyst breakfasts or lunches are prepared in-house and served in a private dining room adjacent to the announcement space. NDA handling and embargoed-material protocols are managed as part of the setup.

What size board room can I hire?

Board rooms across the five venues seat 8 to 30 around the table. Every board room has secure Wi-Fi (isolated from delegate networks on request), a large-format screen for board packs, private dining for lunch and dinner, and a company-secretary support room for minute-taking. Rooms are held for the duration of the meeting; no one else uses them between breaks.

Is confidentiality handled at board and results meetings?

Yes. Rooms are set up before board members arrive and cleared only under supervision. Delegate lists are not shared with other events. Photography of the venue is restricted during your window. Discreet side-entrance arrivals are possible at 1 America Square, The Minster Building and 1 Basinghall Avenue for chairs, CEOs and guest speakers who prefer not to enter through the main lobby.

Are you close to City law firms, auditors and brokers?

Yes. All three of our City venues sit inside the Square Mile and are within a ten-minute walk of the majority of listed-company head offices, brokers, auditors and law firms in the City of London. Shareholders, analysts and journalists working nearby can attend without a taxi. West End boards prefer 44 Hallam Street for its Portland Place / Regent Street location.
